We are committed to protecting your privacy and being transparent about our data practices. This policy applies to all users of Synq and covers both the iOS app and our website.
By using Synq, you agree to the collection and use of information in accordance with this policy.
2. Information We Collect
2.1 Account Information
When you create an account, we collect:
- Name and email address from Apple Sign-In or Google Sign-In
- User ID generated by your authentication provider
- Profile information you choose to provide
2.2 Meeting Content
When you use Synq to record meetings:
- Audio recordings: Temporarily stored during processing only, then immediately deleted
- Transcripts: Text versions of your meetings stored securely
- AI-generated content: Summaries, action items, and email drafts
- Meeting metadata: Date, duration, attendees you specify, and titles
Important: Audio recordings are deleted immediately after transcription. We do not retain raw audio files.
2.3 Usage Information
To improve the App, we collect:
- Device information (iOS version, device model)
- Usage analytics (features used, session duration)
- Error logs and crash reports
- IP address and general location (country-level only)
2.4 Communications
- Email address for marketing communications (with explicit opt-in consent only)
- Support correspondence when you contact us
3. How We Use Your Information
We use the information we collect to:
- Provide Core Services: Transcribe meetings, generate AI summaries, enable memory search
- Improve the App: Analyze usage patterns to enhance features (using anonymized data)

4. Data Storage & Security
4.1 Infrastructure
Your data is hosted on Amazon Web Services (AWS) infrastructure in the United States:
- Database: Aurora PostgreSQL Serverless v2 with pgvector
- Storage: Amazon S3 with encryption at rest
- All data centers located in US regions
4.2 Audio Recording Policy
Critical Privacy Protection: Audio recordings are deleted immediately after transcription completes (typically within minutes). No raw audio files are retained in our systems. Only text transcripts and AI-generated content are stored.
4.3 Security Measures
We implement industry-standard security practices:
- Encryption in transit using TLS 1.2+
- Encryption at rest for all stored data
- Access controls and authentication via AWS Cognito
- Regular security audits and updates
- Limited employee access on need-to-know basis
While we take reasonable measures to protect your data, no method of transmission or storage is 100% secure. We cannot guarantee absolute security.
5. AI Service Data Processing
Synq uses artificial intelligence services to provide core functionality. This section explains exactly what data is sent to each AI service, who processes it, and how your data is protected.
5.1 Speech Transcription Service
Service Provider: Amazon Web Services (AWS Transcribe)
Data Sent: Audio recordings of your meetings (temporarily)
Purpose: Convert speech to text transcripts
Data Protection:
- Audio files are encrypted in transit and at rest
- Audio is processed in AWS data centers in the United States
- Audio files are automatically deleted after transcription completes (typically within minutes)
- AWS does not retain or use your audio data to train their models
- Processing is covered by AWS's data processing agreement and SOC 2 compliance
5.2 AI Summary and Insights Generation
Service Provider: Anthropic (Claude AI) via AWS Bedrock
Data Sent: Text transcripts of your meetings (no audio, no personal identifiers)
Purpose: Generate meeting summaries, action items, and insights
Data Protection:
- Only anonymized text transcripts are processed (speaker names replaced with generic labels)
- No personal identifiers, email addresses, or account information is sent
- Processing occurs through AWS Bedrock with enterprise-grade security
- Anthropic does not store or use your data to train their models
- All data transmission is encrypted using industry-standard protocols
5.3 Memory Search Service
Service Provider: Amazon Web Services (Titan Embeddings)
Data Sent: Text segments from meeting transcripts (no audio)
Purpose: Create searchable vectors for the Memory feature
Data Protection:
- Only text content is processed to create mathematical vectors
- No personal identifiers are included in the processing
- Vector embeddings are stored securely in your private database
- Processing is subject to AWS's enterprise data protection standards
5.4 User Consent and Control
By using Synq, you explicitly consent to the AI processing described above. You retain full control over your data:
- You can delete any meeting and its associated AI-generated content at any time
- You can delete your entire account and all data will be permanently removed
- You can export your data in standard formats before deletion
- Audio recordings are never stored long-term - only text transcripts are retained
Data Protection Guarantee: All AI service providers listed above maintain enterprise-grade security standards equivalent to or exceeding our own data protection measures. They are contractually prohibited from using your data for any purpose other than providing the specific services described.
6. Other Third-Party Services
In addition to AI services, we use these third-party services:
Infrastructure Services (Amazon Web Services)
- Amazon S3 (secure encrypted storage)
- Amazon Aurora PostgreSQL (encrypted database)
- AWS Cognito (user authentication)
Authentication Providers
- Apple Sign-In (for Apple ID authentication)
- Google Sign-In (for Google account authentication)
Analytics Services
- PostHog (open-source product analytics - anonymized usage data only)
- Google Analytics 4 (web and app analytics - anonymized usage data only)
Analytics services receive only anonymized usage statistics to help us improve Synq. No personal content, meeting transcripts, or identifiable information is shared.
We do not sell, rent, or share your personal data with third parties for marketing purposes. Data is only shared with service providers listed above who help us deliver the Synq service under strict data processing agreements.
7. Your Rights & Choices
6.1 Access & Portability
- Request a copy of your data
- Export your meeting transcripts and notes in standard formats (JSON, CSV)
6.2 Correction & Deletion
- Update your account information through the App
- Delete your account and all associated data
- Request deletion by contacting support@point6studios.com
6.3 Marketing Communications
- Opt out of marketing emails via the unsubscribe link in any email
- You will still receive essential service communications
6.4 Analytics
- Opt out of analytics tracking through iOS device settings (Limit Ad Tracking)
7. Data Retention
- Transcripts & Summaries: Retained until you delete them or close your account
- Audio Recordings: Deleted immediately after transcription (typically within minutes)
- Account Data: Retained while your account is active
- Deleted Data: Permanently removed within 30 days of deletion request
- Backups: Deleted data purged from backups within 90 days
8. International Users
Synq is operated by POINT 6 STUDIOS LLC in the United States. If you access the App from outside the US, your data will be transferred to and processed in the United States. By using Synq, you consent to this transfer.
GDPR Compliance (EU Users)
If you are in the European Union, you have additional rights:
- Legal basis for processing: Consent and contract performance
- Right to access, rectify, erase, restrict processing, and data portability
- Right to withdraw consent at any time
- Right to lodge a complaint with your local supervisory authority
CCPA Compliance (California Users)
If you are a California resident:
- Right to know what personal information is collected
- Right to delete personal information
- Right to opt-out of sale (note: we do not sell personal information)
- Right to non-discrimination for exercising your rights
9. Children's Privacy
Synq is not intended for users under 13 years of age. We do not knowingly collect personal information from children under 13. If we discover we have collected data from a child under 13, we will delete it immediately.

Continued use of Synq after changes are posted constitutes acceptance of the updated policy. If you disagree with changes, please stop using the App and delete your account.
